Contractor workflow
From incoming call or email to a confirmed next step
Across many jobs, calls and emails land in shared lines and inboxes. This illustrative workflow follows each one from arrival to a person's action, keeping what AI prepared separate from what was recorded and what staff did.
Arrival: what came in, about which job
A client calls about the office fit-out site visit; the warehouse retrofit client emails about the schedule. AI suggests the job each message belongs to and writes a two-line summary. Staff can correct a wrong job link before routing.
Ownership: one named person per request
Each request goes to the person responsible for that job, using routing rules the business chooses. The phone and email systems record that it was routed and to whom. Routing assigns the work; the person decides how to answer.
Follow-through: keep the events separate
The record can show a callback attempt, a connected call, a sent reply and a next step staff confirmed. Each is a different event. Anything without a confirmation stays visible as unconfirmed for staff review, not as proof someone was ignored.
Decide which job communications need a confirmed next step, who owns each job's calls and emails, and how often someone reviews the unconfirmed list.
