Estimates workflow (proposed)
From a buyer's question to an approved job handoff
A proposed illustration rather than a delivered case. A commercial service firm has estimates out; buyer questions arrive by email or call, and approved work must reach the people who deliver it.
The question finds its estimate
A buyer asks whether the quoted scope includes after-hours work. AI links the message to the sent estimate, its scope lines and earlier messages, and prepares a brief naming the responsible person.
A person answers and confirms the step
The responsible person answers the buyer and records the buyer's next step: reviewing a revision, scheduling a walk-through, or approving. AI may draft wording; staff decide and send anything about price, scope or commitments.
Approval becomes a handoff
When the buyer approves, the approved scope, agreed dates and customer commitments go together to the delivery owner. Delivery starts from what the customer accepted instead of piecing it together from inbox threads.
Decide where estimates and scope live, who owns each open estimate, what counts as approval, and who receives the handoff in delivery.
