Estimates: job handoff

Carrying the approved scope into delivery

An approval can arrive as a signed estimate, an email reply or a call. In this proposed workflow, staff confirm the approval and send one handoff to the delivery owner.

Approved versionThe exact estimate version, scope and agreed changes.
Customer commitmentsDates, site access, open questions and the person who agreed them.
Delivery acceptsThe next owner checks the packet and raises any unresolved questions.
Sending a packet and the next owner accepting it are separate steps.

Confirming what was approved

Staff confirm which estimate version the buyer approved and any changes agreed along the way. AI can gather the related messages and highlight differences from the original quote; a person decides which version is final.

What the handoff carries

The delivery owner receives the approved scope, agreed dates, site or access details, open questions and anything promised to the customer. The handoff names who agreed the work, in case delivery needs more context.

Accepted by the next owner

The handoff is complete when the delivery owner accepts it, not when it is sent. Questions they raise go back to the person who agreed the scope, and are settled before the work is scheduled.

Decide what counts as approval, which details every handoff must include, who accepts it in delivery, and who answers their scope questions.
